How to choose

  1. Name the job. A shared inbox for a team, a chatbot, campaigns, WhatsApp inside an existing CRM, or a bare API for your developers. Few tools are best at more than two.

  2. Count what the price counts. Seats, contacts, conversations or messages. A plan that looks cheap per seat can be expensive per contact, and the other way round.

  3. Look for the markup. Meta's per-message fees are the same for everyone. Some vendors pass them on at cost, others add a percentage or a fixed amount per message. It matters more from 1 October 2026, when Meta starts charging for replies beyond 1,000 a month; a vendor page that still says "service conversations are free" is describing the past.

  4. Use the trial with real chats. Connect a spare number, send yourself templates, and have two colleagues work the inbox for a week.

  • Selection. Platforms that work through the official WhatsApp Business Platform and that a small or mid-sized business in the US, UK, Canada or Australia can sign up for by itself. Tools that automate WhatsApp Web, bulk senders and modified apps are never listed.
  • Prices and trials. Copied from each vendor's own pricing page on the date shown in its card. "Not published" means the vendor does not state the number openly; we do not estimate.
  • Message fees. Where a vendor publishes its per-message rates, we compared them with Meta's rate card and say what we found. Where it does not, we say that instead.
  • What we have not done. We have not run paid accounts on these platforms. This comparison is built from public pricing, documentation and terms, not from hands-on testing, and it says nothing about support quality.
  • Order and recommendations. The order reflects how broadly a platform fits a small business. The three recommendations follow from the facts in the table. What is the best WhatsApp Business software for a small business?

The one that fits how you work. A shop that mainly answers questions needs a shared inbox with a free trial and no per-message markup. A business that wants bots and campaigns needs a flow builder and broadcast tools. Start from the "best for" column, then compare the starting price and message fees.

Do I pay WhatsApp as well as the software?

Usually yes. Meta charges per delivered message on the Business Platform: templates always, and from 1 October 2026 also replies within the 24-hour window beyond 1,000 free ones a month per number. The software subscription is separate, and some vendors add their own markup per message.

Can I try these platforms for free?

Most have a free trial or a free plan; the table shows what each vendor states. You normally need a phone number that is not active in the regular WhatsApp app to test with.

Is it safe to connect my WhatsApp number to third-party software?

Yes when the software uses the official WhatsApp Business Platform, which all platforms in this comparison do. Avoid tools that work by scanning a WhatsApp Web QR code; they are unofficial and risk a ban.
