Tell it what kind of business you run and get a complete "reply 1 for..., 2 for..." menu: the greeting, the away message, a reply for every option including the details to ask for, and the full flow for a chatbot.

Set it up in the free WhatsApp Business app

Everything below is in the Tools tab of the WhatsApp Business app on your phone.

  1. Greeting message: switch on Send greeting message, paste block 1 and choose who receives it. WhatsApp sends it by itself to anyone who writes to you for the first time, or again after 14 days of silence.

  2. Away message: switch on Send away message, paste block 2 and set the schedule to Outside of business hours. That option appears once your opening hours are in your business profile.

  3. Quick replies: add one quick reply per shortcut from block 3. The app stores up to 50.

  4. In a chat, type / and pick the reply that matches the customer's choice. It lands in the message box, so you can fill in a name or a time before sending. This also works on WhatsApp Web.

What the free app does not do: it cannot read "2" and answer by itself. The greeting and the away message are automatic, the replies to menu choices are one tap each. Both automatic messages also need the phone with the Business app to be online.

Make the menu answer by itself

Replies that go out on their own, questions asked one after another, answers saved and passed to a colleague: that is a chatbot, and chatbots run on the WhatsApp Business Platform rather than in the app. Block 4 is written for exactly that. In any of the builders below you recreate it step by step: one message per "Send", one question per "Ask", one saved field per answer, and a handover to a person at the end.

Two things to know before you start. A number on the Business Platform normally leaves the phone app, unless the platform offers Meta's coexistence option. And replies inside the 24-hour window are free up to an allowance; the cost calculator shows what your volume would cost.

What makes a menu work

  • Four or five options, no more. The list has to fit on a phone screen without scrolling. Everything else goes through "talk to a person".
  • Always offer a person. WhatsApp expects businesses to give customers a way to reach a human, and customers who feel trapped in a menu stop answering.
  • Put the most-asked thing first. Look at your last fifty chats; the order of the menu should follow what people actually ask.
  • Ask for one thing at a time in a bot, and for everything at once when a person answers by hand. The generator writes both versions for that reason.
  • Say how fast you reply, and keep the promise. A menu that ends in silence is worse than no menu.

Questions people ask

Can the free WhatsApp Business app answer "1" or "2" by itself?

No. The app sends two things automatically: a greeting message when someone writes for the first time or after 14 days of silence, and an away message. It has no keyword replies. With the quick replies from this generator you answer each menu choice with one tap; for answers that go out by themselves you need a chatbot on the WhatsApp Business Platform.

Is the generator free, and is what I type stored?

It is free, and nothing is stored or sent anywhere. The menu is put together inside your browser, so your business details never reach this site.

How many quick replies can I save?

The WhatsApp Business app stores up to 50 quick replies. A generated menu uses about ten, so there is room for your own.

Should customers choose with numbers, letters or words?

Numbers are the easiest to type on a phone and the most familiar. Words such as BOOK or PRICES read more naturally and are harder to mistype by accident, which helps when a bot has to recognise the reply. Letters sit in between. Pick one and use it everywhere.

Why does my greeting message not send?

WhatsApp lists the usual causes: the customer wrote to you within the last 14 days, the recipient setting excludes them, the phone with the Business app is offline, or Meta Business Agent is connected, which switches greeting messages off.
